Berlin, Germany — August 4, 2026 — freispace, the AI-native post-production scheduling and operations platform, today announced the launch of Physical Media Tracking: the most comprehensive module created for freispace to date.
The new module debuts at IBC 2026 (11-14 September, RAI Amsterdam), where attendees can experience it live in Hall 3, Stand 3.C59. Physical Media Tracking gives post-production facilities a single, centralized system to manage every piece of physical media moving through their facility, from client ingest drives and camera cards to LTO archive tapes.
The module was developed after an in-depth analysis of real-world ingest workflows across numerous post-production houses, identifying recurring friction points and lost-media risks that occur when media is tracked in spreadsheets, legacy applications, or separate systems.
What Physical Media Tracking Delivers
Complete media inventory with rich metadata: Every drive, card, or tape is tracked with extensive metadata such as media type, passwords or credentials, location, assigned project, and accompanying images. Custom statuses allow each facility to model its own physical media lifecycle.
Searchable media contents: Each media item can include a full searchable file list, so teams can locate exactly which drive contains a specific clip, reel, or deliverable without physically scanning shelves or mounting volumes.
Versioning for media in circulation: For drives that move in and out of the facility, especially client ingest drives, the module maintains a complete version history of what was on each drive at each handoff.
Custom workflows with automatic triggers and notifications: Facilities can build bespoke workflows such as multi-step ingest pipelines and trigger automatic notifications at each step change.
Comment and image documentation: Every media item supports threaded comments, image attachments and file uploads, creating a persistent record for condition notes, checksum confirmations, label photos, and issue tracking.
